Four things: who the parties are, which agreement or agreements we are covering, how long the appointment should run, and where to send anything we receive. Alongside the order form we complete standard client due diligence, usually satisfied by ordinary corporate identification documents, or personal identification for individuals.
The order form
Our order form captures the appointing party's details, the counterparties, the agreement's name and date (or expected date for deals still in draft), the term you need, and your forwarding contacts. On contacts, give us more than one, ideally including a monitored team inbox in legal or company secretarial, so notification of served documents never depends on a single person's holiday.
Due diligence
As a professional firm we verify who we act for. Corporate clients typically satisfy this with standard identification documents such as a certificate of incorporation or registry extract and confirmation of directors and ownership; offshore vehicles use their registered agent packs; individuals provide ordinary personal identification. Straightforward cases clear the same day, which is how appointments confirm within 24 hours. All information is handled under our ISO 27001 certified information security controls.
What we do not need
You do not need to send the full agreement unless you want us to check the clause wording against the appointment, which we are happy to do. Commercial terms, pricing and the substance of your deal stay between you and your counterparty; our role needs only the service of process machinery.
