Nothing should lapse silently. We write to you before a fixed term appointment expires; if the underlying agreement is still running you ask us to extend and cover continues, and if it has ended the appointment simply closes. Annual appointments renew automatically each year until you cancel with 30 days notice.
Why expiry matters more than it looks
Most service of process clauses oblige you to maintain an agent for as long as obligations can arise, so an expired appointment is not merely an admin gap: it can put you in breach, and in facility agreements can feed an event of default. It also revives the counterparty's original problem, service abroad, at the precise moment relations may be deteriorating. Diarising expiry alongside the agreement's own key dates is good housekeeping; our reminder letters back that up.
Extending a fixed term
If your agreement extends, refinances or simply runs longer than expected, we arrange an extension of the appointment as an additional service, and the paper trail shows continuous cover, which is what counterparty solicitors want to see. Where a deal ends early instead, tell us and a fixed term appointment simply runs off with nothing more to pay.
Cancelling what you no longer need
Annual appointments continue until cancelled, which protects you from accidental lapse; when the underlying agreement terminates, give us 30 days notice and billing stops. If you have inherited a portfolio of old appointments and are unsure what is live, send us the list and we will help you reconcile it, closing what is dead and consolidating what remains; our changing agent page covers consolidation from other providers.
